How to Use Provisional Invoices for Bookings
Overview
TicketingHub’s provisional invoice feature allows you to manage payments for group and corporate bookings without requiring immediate payment or sensitive payment card details. This approach is useful for customers whose accounts departments require documentation or who prefer not to share card information.
Important: A manually created booking remains Pending until the order is confirmed. You cannot confirm an order without a payment (or required deposit), a Provisional Order, or a Payment Request link. If no payment is attached, mark the order as provisional before clicking Confirm Order. See Confirming an Order That Is Not Fully Paid.
Steps for Using Provisional Invoices for Bookings
1. Initiate a New Order
- Access your TicketingHub dashboard
- Go to Orders and select Actions → New Order
2. Complete the Booking Details
- Click New Booking on the booking page
- Enter the booking information and adjust the pricing if you are offering discounts
- Click Update Booking to save your changes
3. Update the Order
- Locate the Order box on the right-hand side of the booking page
- Click Update
- Select the Provisional Order option to change the order status
- Click Update Order to confirm the provisional status
4. Confirm the Order
- Click Confirm Order to complete the process
- The system automatically sends a pro forma invoice to the customer
Without provisional status (or a payment or payment request), Confirm Order remains unavailable and the booking stays Pending.
5. Customise the Invoice and Email
- Navigate to Settings in your dashboard
- Go to Emails
- Select the Proforma Invoice E-mail tab
- Click View, then Edit, to customise the invoice and accompanying email
Summary
Following these five steps streamlines invoicing while maintaining secure, professional payment processes that work for both your business and your customers. For bookings where the customer will pay online later instead of receiving a pro forma invoice, use a payment request link.
