How to Manage Asset Availability

Assets represent limited resources used by your events, such as guides, boats, vehicles, equipment, or rooms. Assigning them helps TicketingHub avoid allocating the same resource beyond its availability.

Enable Assets

  1. Go to Settings → Features.
  2. Enable Assets.

The Assets item then appears in the sidebar.

Create an Asset

  1. Open Assets from the sidebar.
  2. Select the Assets tab.
  3. Select New Asset.
  4. Enter its name and limit.
  5. Enable Shared between events if overlapping events may use the asset while capacity remains.
  6. Enable Private if one booking must reserve the whole asset.
  7. Select Create Asset.

Use a name your team will recognise, such as Boat 1 or Blue Room. Add an optional type when several interchangeable assets should be treated as the same kind of resource.

Shared between events and Private are separate settings and can be configured independently. Accurate product or event durations are important when an asset must not be allocated to overlapping departures.

Assign Assets to a Product

  1. Open the product and go to Settings → Assets.
  2. Select the assets used by that product.
  3. Select Update.

Repeat this for every product that uses the resource. A timeslot can also override the product’s default assets when it needs a different resource.

Add Asset Unavailability

Use unavailability for maintenance, staff leave, or any period when a resource cannot be used:

  1. Open Assets from the sidebar.
  2. Select Asset Unavailability.
  3. Select New Unavailability.
  4. Choose the asset and date range.
  5. Select Create Unavailability.

Adding unavailability reruns asset allocation. TicketingHub may assign another suitable asset, or mark bookings it cannot fully allocate as incomplete. Existing bookings are not cancelled automatically.

Monitor and Resolve Conflicts

Use the Timeline under Assets to review which resources are allocated to events. Go to Orders and filter by Incomplete Assets Allocation to find bookings that need attention. Check the event, assign a suitable available asset where possible, and contact the customer if the booking must change.

For more background on asset settings and use cases, see manage rooms, guides, and equipment across products. If product times are missing, use the availability troubleshooting checklist.
