How to Use Provisional Invoices for Bookings
Overview
TicketingHub’s provisional invoice feature enables management of group and corporate booking payments without requiring immediate transactions or sensitive payment card details. This approach benefits clients whose accounting departments need documentation or those preferring not to share card information.
Important: A manually created booking stays Pending until the order is confirmed. You cannot confirm an order without a payment (or required deposit), a Provisional Order, or a Payment Request link. If there is no payment attached, mark the order as provisional before clicking Confirm Order. See Confirming an Order That Is Not Fully Paid.
Steps to Use Provisional Invoices for Bookings
1. Initiate a New Order
- Access your TicketingHub dashboard
- Go to Orders and select Actions → New Order
2. Complete Booking Details
- Click New Booking on the booking page
- Enter booking information and adjust pricing if offering discounts
- Click Update Booking to save changes
3. Update the Order
- Locate the Order box on the right side of the booking page
- Click Update
- Check the Provisional Order option to change order status
- Click Update Order to confirm provisional status
4. Confirm the Order
- Click Confirm Order to finalize the process
- The system automatically sends a proforma invoice to the client
Without provisional status (or a payment / payment request), Confirm Order remains unavailable and the booking stays Pending.
5. Customize the Invoice and Email
- Navigate to Settings in your dashboard
- Go to Emails
- Select the Proforma Invoice E-mail tab
- Click View then Edit to customize the invoice and accompanying email
Summary
Following these five steps streamlines invoicing while maintaining secure, professional payment processes that work for both your business and clients. For bookings where the customer will pay online later instead of receiving a pro forma invoice, use a payment request link.
