How to Track Coupon, Voucher, and Gift Card Usage

Coupons, voucher bookings, reseller vouchers, and gift cards are tracked in different parts of TicketingHub. Use this guide to find the right record and understand what has been used.

Understand What You Are Tracking

TypeWhat it doesWhere to track it
CouponReduces a ticket price at checkoutDiscounts → Coupons, Orders filters, and the Dashboard filtered by coupon
Voucher bookingHolds a prepaid, open-dated booking until the customer chooses a dateOrders → Filter By → Voucher Booking
Reseller voucherRedeems a code supplied by a wholesale partnerDiscounts → Reseller Vouchers
Gift cardHolds a monetary balance that can pay for ordersDiscounts → Gift Cards

Check How Often a Coupon Was Used

Find the Bookings

  1. Go to Orders.
  2. Open Filter By.
  3. Select Coupon Name or Code.
  4. Enter the coupon name or code and apply the filter.
  5. Use Actions → Download if you need the filtered bookings in a spreadsheet.

For a summary, filter the Dashboard by coupon to see the bookings and sales it brought in.

Check Single-Use Codes

  1. Go to Discounts → Coupons.
  2. Open the coupon.
  3. Review Existing Used Codes and Existing Unused Codes.

These lists appear for coupons that contain multiple individual codes. A reusable coupon is best tracked through the Orders filter or the Dashboard filtered by coupon.

Find Unredeemed and Redeemed Voucher Bookings

  1. Go to Orders.
  2. Open Filter By → Voucher Booking.
  3. Choose:
    • Is Voucher for open-dated vouchers that have not been redeemed.
    • Is Redeemed Voucher for vouchers that have already been assigned to a date.
  4. Apply additional Product or booking-date filters if needed.

There is no separate expired-voucher filter. See How to Find Unallocated, Unredeemed, and Returned Vouchers for the date-filter workaround.

Track Gift-Card Balances

  1. Go to Discounts → Gift Cards.
  2. Search by code or purchase date.
  3. Review the original amount, remaining balance, and status.
  4. Select Download to export the list.

You can also open Customers → select a customer → Gift Cards to review that customer’s purchases and redemptions.

If Gift Cards is not available, ask an account administrator to check whether gift-card features are enabled.

Make a Coupon Valid for One Event Date

Use Booked For to restrict the experience date. This is different from Booked On, which controls when the customer may enter the code.

  1. Open the coupon under Discounts → Coupons.
  2. Set Booked For – From and Booked For – To to the same event date.
  3. Check that the correct product is linked to the coupon.
  4. Save and test the code against that date before sharing it.

You can also apply date rules to one linked product without changing the coupon’s other products.

Troubleshoot an Invalid 100% Coupon

A 100% coupon is supported. When it reduces the order total to zero, the customer should not be asked for payment. If the code appears invalid, check:

  1. Products: The coupon must be linked to the product being booked.
  2. Usage limit: Confirm the coupon or individual code has redemptions remaining.
  3. Booked On dates: The customer must use the code during this date range.
  4. Booked For dates: The selected experience date must be inside this range.
  5. Allowed weekdays: The experience date must use an allowed day.
  6. Packages: Every required product in a package must be selected before checkout can complete.

Test the full booking journey after changing any rule. If the code is still rejected, send support the coupon name, product, selected experience date, and the exact message shown at checkout. Do not send an API token or payment details.

Issue Complimentary Tickets to a Partner

For occasional complimentary bookings, create a 100% coupon linked only to the relevant product. Set a usage limit and date range, then share the code or apply it while creating the booking.

For a partner supplying a list of single-use codes:

  1. Create the partner as a wholesale reseller.
  2. Go to Discounts → Reseller Vouchers.
  3. Add the product, rate, ticket quantity per code, and the partner’s codes.
  4. Track redemptions from the Reseller Vouchers list.

See How to Add Reseller Voucher Codes for the full setup.
