How to Add a Booking
Adding a booking on TicketingHub is a straightforward process designed for tour operators and team members managing reservations. The system supports various booking types, including reseller and provisional bookings.
Why a Manually Added Booking Stays Pending
When you create an order and add a booking, the status is Pending until you confirm the order. Pending means the booking has been started but is not yet confirmed.
You cannot confirm an order without one of the following:
- A payment (or the required deposit) added to the order
- The order marked as a Provisional Order (use this when there is no payment yet)
- A Payment Request link added so the customer can pay online later
If Confirm Order is unavailable, add a payment, mark the order as provisional, or create a payment request first. See Confirming an Order That Is Not Fully Paid and How to Use Provisional Invoices for Bookings.
Steps to Add a Booking
1. Create a New Order
Begin by opening Orders in your TicketingHub dashboard and selecting Actions → New Order. Navigate to the Bookings section and click “New Booking.”
For reseller or provisional bookings, visit the Order section, click Update, select your reseller, choose the currency if needed, and confirm.
2. Add Booking Details
After initiating the booking process:
- Select a product from the dropdown menu
- Add booking options if necessary
- Optionally include a coupon, special rate, variant, or tax exemption
- Specify ticket quantity and adjust pricing for custom or private tours
- Select an available date and time
- Choose additional options like vouchers, custom tours, or group bookings
- Select a pickup location if applicable
- Add upsells and Q&A fields as needed
Note: Group bookings provide only one ticket for the entire group.
3. Add Customer Information
Enter the customer’s name in the Customer Information section. For returning customers, their details populate automatically. For new customers, provide their full name, email address, and phone number, then click “Create Customer.”
4. Apply a Discount (Optional)
Navigate to the Discount section below the booking details and click “New Discount” to adjust pricing as needed.
5. Add a Payment, Provisional Status, or Payment Request
Before you can confirm the order, choose one of these options:
- New Payment — Click “New Payment” in the Payment section, select a payment method, enter the details, and click “Create Payment.”
- Provisional Order — If there is no payment yet (for example group or corporate bookings), update the order and select Provisional Order. See How to Use Provisional Invoices for Bookings.
- Payment Request — Use New Payment Request to send a payment link for later payment. See How to Request Payments via a Payment Request Link.
6. Confirm the Order
Click the “Confirm Order” button at the top right. For paid or deposit orders, the system can send the customer their confirmation and tickets. For provisional orders, the customer receives a pro forma invoice instead of tickets until the balance is paid.
