How to Add Users, Restrict Access, and Configure Supplier Notifications

1. Navigate to the User Settings


Go to Settings, then click on Users from the top menu.




2. Create a New User


Click on Add User in the upper-right corner of the dashboard.




3. Enter User Details


Fill in the new user's name and email address.




4. Assign Access Level


Select the appropriate role for the user based on their responsibilities. You can select more than one role for a user.


Available Roles


  • Administrator: Full access, including settings and user management.


  • Manager: Similar to Administrator but cannot alter or delete users.


  • Operations: Focused on availability, customers, and existing products.


  • Support: Handles bookings, customers, resellers, and communication.


  • Finance: Manages reports, payments, and financial data but cannot manage bookings.


  • Box Office: Deals with bookings, resellers, and existing products.


  • Entry Manager: Handles entry-related tasks such as ticket scanning.


  • User Manager: Manages users for the supplier account.


  • Channel Management: Oversees reseller websites. When selected, a prompt will appear allowing you to assign specific channel(s) for this user to handle.


  • Point of Sale: Provides access to the POS app only. Users with this role cannot access the main dashboard. When logging into the web dashboard, they are automatically redirected to the supplier selection screen where they can manage their account details only. They cannot view bookings, reports, settings, or any admin sections.


Important — POS App Access: Only users with an Administrator, Manager, or Point of Sale role can log into the TicketingHub POS app. If a user without one of these roles attempts to log in, they will see the message: "You do not have access to the Point of Sale application. Please contact your TicketingHub administrator."




5. Save the New User


Click Create User to save the changes.


The new user will receive an automated email with instructions on how to set their password.




6. Supplier Notifications


TicketingHub sends automated email notifications to keep operators informed of key booking activity. These are triggered by system events and delivered to the email address associated with each user account.


Notification Types


Suppliers and guides can receive the following notification emails:


  • Booking Confirmed — Sent when a new booking is confirmed on any channel.
  • Booking Provisional — Sent when a booking is placed but awaiting confirmation.
  • Booking Cancelled — Sent when a booking is cancelled by a customer or admin.
  • Extras Purchased — Sent when a customer adds extras to an existing booking.
  • Manifest Email — Sent to the operator or assigned guide ahead of a tour departure, listing all confirmed passengers.
  • Guide Manifest — A dedicated manifest sent directly to the assigned guide for a tour.
  • Last-Minute Booking Alert — Sent when a booking is made within a short window before the tour start time.
  • First Option Booked — Sent when the first booking is placed on a previously empty availability slot.


Configuring Who Receives Notifications


Notification preferences are managed at the user level. To ensure the right people receive the right emails:


  1. Go to Settings → Users.
  2. Select the user you want to configure.
  3. Ensure their email address is correct and up to date.
  4. Review their assigned role — notification delivery is tied to the user's email on file.


Tip: If a supplier or guide reports missing booking notifications, first verify their email address in user settings and check that the notification email has not bounced. Contact TicketingHub support if delivery issues persist.




Frequently Asked Questions


Can a user have more than one role?

Yes. You can assign multiple roles to a single user. For example, a team member could have both Box Office and Support roles simultaneously.


Can a Point of Sale user access the dashboard?

No. Users with only the Point of Sale role are redirected away from the main dashboard upon login. They can view and update their own account details, but cannot access bookings, products, reports, or settings. Dashboard access requires an Administrator or Manager role.


What happens if I assign the Channel Management role?

A prompt will appear during setup asking you to select the specific reseller channel(s) this user should manage. They will only have visibility and control over those assigned channels.


How do I remove a user's access?

Go to Settings → Users, find the user, and either edit their role to restrict access or deactivate their account entirely.
